Shopify stores / Chargebacks / Stripe / After you submit evidence

I submitted Stripe dispute evidence. What happens next?

From Stripe's documentation: the bank reviews it for about 60 to 75 days, the full dispute can take 2 to 3 months, the outcomes are won or lost, fees and withdrawals, and what you cannot change after you submit.

The short answer

  1. Stripe forwards your response and files to the issuing bank immediately, and the status becomes under review. You cannot edit it or add files afterwards.
  2. Stripe's How disputes work page says the issuer has usually 60 to 75 days to decide, depending on the card network, and that the whole dispute can take 2 to 3 months. Stripe emails you when it receives the decision.
  3. The outcome is won or lost. If you win, the bank returns the debited amount to Stripe and Stripe passes it to you; if you lose, no money moves from your side and the refund is permanent.
  4. Stripe says the dispute countered fee is returned if you win and the dispute received fee is not, unless your contract says otherwise. Mexico and Japan differ on the countered fee.
  5. Stripe does not support an arbitration phase, so you cannot escalate a lost dispute through Stripe.

The steps

  1. After you submit, watch for status changes: under review, then won or lost. Stripe notifies you in the Dashboard, by email and in the charge.dispute.closed event.
  2. Do not refund the charge during the dispute. Stripe's page says you cannot issue a refund outside the dispute process while it is open.
  3. If the customer contacts you, keep records. Stripe says a withdrawal does not speed the timeline, and does not replace evidence.
  4. When the decision arrives, check the status and, if the bank gave details, open View issuing bank response under Relevant documents in the dispute.
  5. If you lost and the bank's note says something about your evidence, use it for the next dispute. Stripe says a lost outcome is final.

The evidence checklist

Nothing more to submit after you click submit, so this page is about what to expect and keep. These are the records worth keeping.

  • A copy of exactly what you submitted, with the date
  • The dispute ID, amount, category and due date
  • Any messages from the customer after the dispute, including any claim that they withdrew it
  • The decision email and the issuing bank response, if provided
  • The fee lines on your balance (received fee, countered fee) for your own accounts

The timeline and outcomes, as Stripe states them

  • When a dispute is filed Stripe debits the disputed amount plus a dispute fee from your Stripe balance, and the funds are held for the duration of the dispute.
  • Cardholders can typically open disputes within 120 days of the payment, with more time in some situations. For future events or services the window can start on the event date.
  • You usually have 7 to 21 days to respond after a chargeback is created, depending on the card network.
  • Won: the issuer overturned the dispute and the money comes back to you. Lost: the refund is permanent and the dispute fee is not returned. In rare cases a lost dispute can change to a late win, when the issuer credits Stripe outside the normal process.
  • Withdrawals: a customer can withdraw a financial dispute, even after a loss, but a withdrawn dispute does not resolve faster, does not look different in the Dashboard, and still counts toward your dispute rate. You still must submit evidence, because many issuers treat no evidence as acceptance of liability.
  • Inquiries: a pre-dispute request open for 120 days without escalating is marked closed, and card networks do not send a 'win' message for inquiries. If an inquiry escalates to a chargeback you must submit another response.
  • Some disputes cannot be challenged: Stripe closes them as lost immediately, including Cartes Bancaires disputes for businesses in the Single Euro Payments Area and Nigerian payment methods.

Plain words: The issuer is the bank that issued the customer's card.

A note to keep with your records (ours)

Plain text. Replace every [bracket] with a fact from your records and delete any line you cannot back with a file.

Dispute [ID], order [order number], [amount and currency], category [category].
Submitted on [date and time], [number] evidence files.
What the response argued: [one sentence].
Expected decision: [date range, usually 60 to 75 days after submitting; up to 3 months overall].
Customer contact since: [date and summary, or none].
Outcome: [won / lost], [date]. Fee lines: [received fee], [countered fee, returned if won].

Never state anything you cannot prove. Every sentence in the response should point to a file you can attach. Delete any line you have no file for.

Common mistakes

  • Issuing a refund while the dispute is open. Stripe says you cannot refund outside the dispute process.
  • Waiting for the customer's withdrawal instead of submitting evidence. Stripe says submit anyway.
  • Expecting to add a file later. Stripe says there is one opportunity.
  • Expecting a decision in days. Stripe says the issuer's review is usually 60 to 75 days and the whole dispute can take 2 to 3 months.
  • Assuming Shopify's admin shows what Stripe shows. We could not confirm how a Stripe dispute appears in the Shopify admin, so use the Stripe Dashboard and email.

Questions merchants ask

How long does the bank take after I submit?

Stripe says usually 60 to 75 days, depending on the card network, and that the full dispute lifecycle can take 2 to 3 months.

What are the possible outcomes?

Won or lost. Stripe says that if you win, the issuer returns the amount to Stripe and Stripe passes it to you. If you lose, the refund is permanent and the dispute fee is not returned.

Which fees do I get back if I win?

Stripe says it returns the dispute countered fee, and never returns the dispute received fee unless your contract states otherwise. The countered fee does not apply in Mexico and Japan.

Can I appeal a lost dispute?

Stripe says the outcome is final for all parties, and that Stripe does not support arbitration. A customer can still withdraw a dispute, even after a loss.

Can I speed it up?

Stripe says you cannot reliably accelerate the timeline, except by accepting the dispute in the Dashboard or API.

What we could not confirm

We read Stripe's pages for cards. Klarna and PayPal payments processed through Stripe have their own rules, which Stripe says differ. We did not confirm how Stripe disputes show in the Shopify admin, and we did not read Stripe's fee table. Rules and deadlines can change, so use the due date and form on your own dispute.

The Chargeback Evidence Checklist, or its ready text to paste into ChatGPT, asks for your dispute reason and lists the proof to gather. Or pick the reason on the chargebacks page.

Want it written for you?

  • You get: fill-in Word letters with checklists, worked examples and a one-page start guide. Optional: a ready text to paste into ChatGPT or a similar assistant, which fills the letter in for you.
  • Checkout: Gumroad opens on this page. Click Add to cart, enter your email and card details, and check the total, with any VAT, before you pay. Prices here are in US dollars.

The kit now has six fill-in response letters for Word or Google Docs (one per reason), evidence checklists, worked examples and a one-page Start-here guide, plus an optional ready text for ChatGPT or a similar assistant that fills the letter in for you. The Chargeback Response Kit and the free Chargeback Evidence Checklist are written around Shopify's chargeback reason names: Fraudulent, Unrecognized, Product not received, Product unacceptable, Subscription canceled, Duplicate, Credit not processed and General. The Writer's README says it also handles inquiries, Shopify Protect orders and orders that were already refunded. Its response structure carries over to other payment methods, because the questions a bank asks are similar. Where and how you submit differs, and we have not tested the skill against the Stripe Dashboard after submission. Check the form's own limits before you paste anything in. What carries over to PayPal, Stripe and other processors: the way the response is built (what happened, evidence as numbered exhibits, the policy quoted word for word, dated contact with the customer, nothing you cannot back with a file) and the evidence ideas for each kind of claim. The fill-in letters follow Shopify's reason names, so for another processor pick the letter for the closest reason and use it to organise your facts. What does not: the reason names, the deadlines, the evidence field names and where you submit, which belong to each processor, so check them against that processor's own page above.

Before: a merchant sent delivery photos against a fraud dispute and lost.
After: a verdict (weak, fight only if cheap), what the bank actually asks, and what to gather instead.
