Follow-up email after a meeting: four you can copy

Send it the same day. Say what you heard, what each of you will do and by when, and ask them to correct anything you got wrong.

Free. Not legal advice.

4 emails you can copy

Four follow-ups: a recap, a promised document, a first meeting at an event, and a nudge when nothing has happened. Replace every [BRACKET] with a real fact.

  • The same-day recapSubject: Recap from our meeting on [DATE]Hi [FIRST NAME], Thank you for your time today. What I heard: you want to [THEIR GOAL IN ONE LINE], and the main blocker is [THEIR BLOCKER]. Next steps: I will [YOUR STEP] by [DATE]. You will [THEIR STEP] by [DATE]. Did I get anything wrong? [YOUR NAME]
  • Sending what you promisedSubject: [DOCUMENT] from our meetingHi [FIRST NAME], As promised, here is [DOCUMENT OR LINK] that we talked about on [DATE]. The part that answers your question on [TOPIC] is [SECTION OR PAGE]. Tell me what you would change, and I will update it. [YOUR NAME]
  • After meeting at an eventSubject: Good to meet you at [EVENT]Hi [FIRST NAME], Good to meet you at [EVENT] on [DATE]. We talked about [TOPIC]. I said I would send [THING]: here it is, [LINK]. If a call later would be useful, tell me a day that suits you. If not, it was good to talk. [YOUR NAME]
  • A few days later, no replySubject: Next step after [DATE]Hi [FIRST NAME], I wanted to ask about the next step from our meeting on [DATE]. Do you need anything more from me for [DECISION], or is it better to talk again in [MONTH]? [YOUR NAME]

Subject lines

  • Subject lineRecap from our meeting on [DATE]
  • Subject line[DOCUMENT] from our meeting
  • Subject lineGood to meet you at [EVENT]

Why this works

  1. Send it the same day, while both of you remember.
  2. Write what you heard in their words, in one or two lines.
  3. List the next steps with a name and a date on each.
  4. Ask them to correct you. It is how you find out what you missed.
  5. Attach or link only what you promised.

What to avoid

  • Do not start with "Thank you for taking the time to meet" and nothing else. Say what was decided.
  • Do not add new asks that were not in the meeting.
  • Do not copy the same recap to everyone. Check each name and date.
  • Do not promise something you are not sure you can deliver by the date.

Official pages. Rules for commercial email differ by country. Not legal advice: check the rules that apply to you.

  • United States: FTC: CAN-SPAM Act: A Compliance Guide for Business. It says the law covers all commercial email, with no exception for business-to-business email, and lists what each message needs, read 5 October 2026.
  • United Kingdom: ICO: Electronic mail marketing. It says you must not send marketing emails to individuals without specific consent, that you can send marketing emails to companies, and that it is good practice to keep a do-not-email list of companies that object. The ICO says the page is under review. Read 5 October 2026.

What the tools add

The first is free. Start there.

Free

Cold Email Checker

Paste your draft and the text of the prospect's page. It tests every claim about them against that text, flags claims about you that need proof, and checks the subject line, the single ask and the length. It lists the commercial email basics from the US FTC's CAN-SPAM guide that the draft is missing. You get a verdict, a claims table, quoted issues and a tightened version with unsupported claims removed.

Questions people ask

How soon should I send a follow-up after a meeting?

The same day, or the next morning. It is a recap, and it is more useful while it is fresh.

What should the subject line be?

Name the meeting and the date, for example "Recap from our meeting on [DATE]". It is easy to find later.

What if they do not reply to the recap?

Silence usually means they agree. Do your own steps by your own dates. If you need something from them, ask again after a few days, as in the last email above.

Is this different for a networking event?

Yes. You have no agreed next step, so keep it light: remind them where you met, send what you promised, and offer a call only if it fits.
