4 emails you can copy
Four follow-ups for people who already know you exist. Each one names the thing you are following up on. Replace every [BRACKET] with a real fact.
- After you sent a quote or proposalSubject: Your [QUOTE OR PROPOSAL] for [PROJECT]Hi [FIRST NAME], I sent the [QUOTE OR PROPOSAL] for [PROJECT] on [DATE]. Do you have any questions about [PRICE, SCOPE OR TIMING]? I can go through it on a short call, or answer by email. Whichever is easier for you. [YOUR NAME]
- After an enquiry from your websiteSubject: Your question about [PRODUCT OR SERVICE]Hi [FIRST NAME], You asked about [PRODUCT OR SERVICE] on [DATE]. So that I can point you to the right option, could you tell me [ONE QUESTION ABOUT THEIR SITUATION]? I will reply with [WHAT YOU WILL SEND]. [YOUR NAME]
- After a call, with the next stepsSubject: Next steps from our call on [DATE]Hi [FIRST NAME], Thank you for the call on [DATE]. As we agreed: you will [THEIR STEP] by [DATE], and I will [YOUR STEP] by [DATE]. If I have got anything wrong, tell me and I will correct it. [YOUR NAME]
- When a lead has gone quietSubject: Still on your list: [TOPIC]?Hi [FIRST NAME], When we spoke on [DATE], you said [WHAT THEY SAID, IN THEIR WORDS]. Has that changed, or is it still something you want to do? Both answers are fine to hear. If the timing is wrong, I can write again in [MONTH]. [YOUR NAME]
Subject lines
- Subject lineYour [QUOTE OR PROPOSAL] for [PROJECT]
- Subject lineNext steps from our call on [DATE]
- Subject lineYour question about [PRODUCT OR SERVICE]
Why this works
- Start with the thing you are following up on, and its date.
- Ask one question. A reply of one line should be enough.
- Say what happens next, and who does it.
- Use the person's own words from the call or the form, not yours.
- Write down the date you will follow up again.
What to avoid
- Do not ask "any updates?". Ask about one specific thing: the price, the scope, the date.
- Do not push them to decide. Ask what they need in order to decide.
- Do not mention a competitor or a price rise to hurry them, unless it is true and they asked.
- Do not send three different asks in one email.
Official pages. Rules for commercial email differ by country. Not legal advice: check the rules that apply to you.
- United States: FTC: CAN-SPAM Act: A Compliance Guide for Business. It says the law covers all commercial email, with no exception for business-to-business email, and lists what each message needs, read 5 October 2026.
- United Kingdom: ICO: Electronic mail marketing. It says you must not send marketing emails to individuals without specific consent, that you can send marketing emails to companies, and that it is good practice to keep a do-not-email list of companies that object. The ICO says the page is under review. Read 5 October 2026.
What the tools add
The first is free. Start there.
Cold Email Checker
Paste your draft and the text of the prospect's page. It tests every claim about them against that text, flags claims about you that need proof, and checks the subject line, the single ask and the length. It lists the commercial email basics from the US FTC's CAN-SPAM guide that the draft is missing. You get a verdict, a claims table, quoted issues and a tightened version with unsupported claims removed.

Cold Email from a Website
What you give it: a company's website address and a line on what you sell. If you have a proof point, add it, and you confirm it is true.
What you get: a three-email sequence and two subject lines, each built on something visible on their site, with the page it came from, and a list of what to check before sending.
$9, one price, no subscription. It reads up to three public pages, does not find email addresses, and does not send anything.
Questions people ask
When should I follow up after sending a proposal?
Pick a date at the end of the call, such as "I will check in on Thursday", and do it. Agreeing the date in advance makes the follow-up expected.
What should a sales follow-up email say?
What you are following up on, one question, and the next step. Anything else can wait for a call.
What if they said they need to think about it?
Ask what they need in order to decide, and offer it: a number, a reference, a call with someone. Then leave them to it.
Is a follow-up a marketing email?
It can be. The rules depend on the country and on who you write to. See the pointers on this page, and check them for your case.
