I missed the chargeback due date. What happens now?

Shopify's help says no evidence can be added after the due date, with no exceptions, and that it sends your response on the due date even if you added nothing. What to check, and what other processors say.

The short answer

  1. Shopify's help says: "After the submission deadline has passed, you can't submit any further evidence. There are no exceptions to this."
  2. If you use Shopify Payments, your response is still sent on the due date with the order information Shopify adds automatically, even if you added no evidence yourself.
  3. The bank's decision is final and Shopify can't overturn it. Check the status on the order.

What the sources say

  • Shopify's admin article: "You can edit your evidence response at any time before the chargeback due date. The due date varies from 7 to 21 days after the chargeback or inquiry is filed. The date that displays is in your store's timezone. If no specific time is displayed, then the deadline is 11:59 PM on the date that displays." source
  • "After the submission deadline has passed, you can't submit any further evidence. There are no exceptions to this, so make sure to submit all evidence before the deadline." source
  • Shopify's responding article: "If you use Shopify Payments, then order information from your Shopify admin is added to your chargeback response automatically. Your response is submitted to the credit card company on the due date, even if you don't add any evidence yourself." source
  • "After the bank or credit card company rules on a chargeback, there's no appeal process and the decision is final. Shopify doesn't make these decisions and can't overturn them." source
  • Shopify Support, per the same article: it "can help with technical issues such as submitting evidence, understanding chargeback statuses, and resolving debit failures" but "can't reverse a bank's decision or guarantee a specific outcome". source
  • Other processors: Stripe's documentation says "If you don't respond before the deadline, you automatically lose the dispute". PayPal's US help says a dispute not escalated closes automatically after 20 days, and that you must respond within the first 10 days. Klarna's documentation says that failing to respond leads to it resolving the dispute in the customer's favour. source

It depends on your card network or bank

The due date depends on the card network and bank (7 to 21 days according to Shopify). Where you see it: the order in your Shopify admin shows the chargeback banner with the status, and the date is in your store's timezone. Chargeback notices go to your store contact email.

What to do in the next 10 minutes

  1. Open the order and read the status. If it says submitted, your response, with the automatic evidence, has gone to the bank. If it says lost, the decision is final.
  2. If the status still says open and the due date has not passed, add evidence now and click Submit now only when it is complete.
  3. Check Settings > Store details so future notices reach an inbox you read.
  4. Write down the due date and the reason for your next chargeback the day it arrives, and put the due date in your calendar.

Faster than filling in the template yourself: the $5 kit has the fill-in 'fraudulent or unrecognized' letter (Word or Google Docs), with its checklist and a worked example. Open it in Word or Google Docs, fill in the brackets, send. The template on this page stays free.

Stuck? Email your filled-in letter to kaiventura.founder@gmail.com before you submit (remove card numbers and anything you don't want to share). We'll tell you what's missing for your reason, usually within one working day. Free. Not legal advice.

One price, $5. No percentage of what you win, no subscription, no surprise charges.

If you use ChatGPT or a similar assistant, the kit also has a ready text to paste in that fills the letter in for you.
